Outsourcing

The basic concept of outsourcing transcription services arises from the specialisation of the function. Economic participants have an incentive to use outside resources to perform activities traditionally handled by internal staff and resources, where there are clear benefits. Reduced to its essence, outsourcing is a dynamic management strategy that transfers non-core functions to specialised, efficient service providers. Outsourcing Dictation

Any business that produces a large amount of dictation will require trained typists. Normally the availability of this additional skill will mean that particular employee will be paid a premium over what is normally paid to clerical staff. If that employee's sole function is typing that is well and good but in most offices this is not the case. A Deloitte and Touche survey showed that in most situations a typist spent less than 47% of their time processing work or to put it another way the employer is overpaying for 53% of the time.

In a legal practice the efficient processing of a fee-earners work is critical. Transcribing dictation however is time consuming, taking 4-6 hours to transcribe one hour of dictation depending on its quality. This assumes no interruptions such as answering the telephone or performing other clerical duties for the fee-earner. These are functions which cannot be outsourced as they require the physical presence of client's files or other hard copy information. Transcription of dictation however can be outsourced which releases the clerical staff to perform these other duties more efficiently. Many practices have a ratio of fee earners to support staff of 1:1.5 or even 1:2. Outsourcing can reverse that ratio to 2 fee earners to 1 support staff which reduces overheads and frees up valuable space.

Traditionally sickness, maternity leave and holidays have meant that practices have had to resort to temporary staff with less than successful results or simply let a backlog develop.
